Connecting systems, not replacing them: Depaul Ireland’s incremental roadmap

Depaul Ireland is a leading homelessness prevention charity which supports people who are experiencing or at risk of homelessness across the Republic of Ireland and Northern Ireland. As part of the international Depaul Group, the organisation delivers emergency accommodation, supported housing, health and wellbeing programmes, tenancy sustainment and community-based support. Every year, thousands of people rely on Depaul's services, making operational resilience, effective case management and regulatory compliance essential to delivering positive outcomes for the people they support.

As Depaul has grown, so has the technology supporting its services. Different systems have been introduced to meet evolving operational needs. The next stage of its digital journey is to connect those systems into a more integrated operating model that improves visibility, supports staff and creates a stronger platform for future innovation.

The opportunity

Depaul recognised an opportunity to simplify how information flows across the organisation and reduce the reliance on manual processes between critical systems.

Service delivery teams rely on Salesforce alongside statutory case management systems in both jurisdictions. Finance, HR, property management, fundraising and operational knowledge each sit within separate applications. While these platforms support their individual functions well, they operate largely independently, creating manual hand offs, duplicate data entry and fragmented information. Rather than replacing existing technology, Depaul wanted a roadmap that would maximise current investments, deprecate legacy technology while creating a more connected architecture.

The ambition was to create a connected digital foundation that would:

Reduce manual administration for frontline and support teams

Improve visibility across service delivery, property management and compliance

Create a single source of truth for operational information

Summarization of documents

Strengthen governance and reporting

Provide a scalable platform that supports future growth and new services

Create the foundations for future automation and AI where they deliver measurable value

"Our priority is always delivering the best possible support for the people who rely on our services. This work gives us a clear roadmap for how technology can better support our colleagues, simplify day-to-day operations and create a stronger foundation for the future, while allowing us to build on the investments we've already made."

Ross O’Connor Kelly, Director of Operations & Compliance, Depaul Ireland

esynergy has been working alongside Depaul to understand both the current technology estate and the operational processes that sit behind it. Rather than starting with technology, the engagement has focused on understanding how people work today and where better integration can improve outcomes for staff and service users.

Together, we mapped the application landscape across service delivery, statutory case management, finance, HR, property management, fundraising and collaboration, identifying where information moved between systems, where manual intervention was required and where integration would deliver the greatest operational benefit.

Working with Depaul's leadership and operational teams, we developed a target architecture that identifies where integration, automation and improved data management can simplify operations while continuing to leverage platforms including Salesforce, Sage Intacct, BambooHR and Microsoft 365.

Rather than recommending a large-scale transformation programme, the approach has been intentionally incremental. Each proposed initiative is designed to deliver tangible business value while contributing towards the longer-term architecture.

Potential future initiatives include:

Integrating service delivery systems to reduce duplicate data entry

Integrating service delivery systems to reduce duplicate data entry

Improving visibility across buildings, compliance and maintenance activities

Connecting finance and operational data to support better planning and reporting

Workflow systems

Introducing workflow automation for repetitive administrative processes

Summarization of documents

Strengthening document management and knowledge sharing

governance

Establishing consistent data governance across operational systems

Creating the technical foundations for future AI assisted processes and reporting

"The opportunity wasn't to replace systems for the sake of it. It was to create a connected operating model that allows information to flow where it's needed, reduces unnecessary administration and gives frontline teams more time to focus on the people they support. By taking an incremental approach, each project delivers measurable value while contributing to a long-term digital foundation."

Ryan Preece, Director of Third Sector, esynergy

The journey ahead

The engagement provides Depaul with more than a technology roadmap. It establishes a prioritised plan for digital investment that supports the organisation's strategic objectives while delivering value incrementally.

Better integration will reduce administration, improve reporting and governance, and provide more reliable operational data. A more connected platform will also simplify future technology delivery, allowing new capabilities to be introduced without creating additional silos.

As the partnership develops, esynergy will continue delivering the roadmap through focused projects that improve operational efficiency while supporting Depaul's mission of helping people experiencing or at risk of homelessness.
